Privacy Policy

RouteSurvey App serves customers through Swiss Digital Solutions LLC d.b.a. Route Survey App in North America and Swiss Logistics Consulting GmbH for customers outside North America (together, "RouteSurvey App," "we," "us," or "our," according to their respective roles). Swiss Digital Solutions LLC operates this public website and handles RouteSurvey App payments through Stripe. Swiss Logistics Consulting GmbH operates the mobile app and Web Console, including account sign-in; those services are hosted with OVHcloud in the United States. You can contact us using section 11; we will direct your request to the company responsible for the information concerned.
1. Information We Collect
This policy covers the public website, waitlist, contact forms, mobile application, Web Console and billing. The public website currently accepts waitlist registrations; joining the waitlist does not start a trial or subscription or collect a payment.
The relevant company determines how account, support and billing information is used for its role. When an organization uses RouteSurvey App to process information in its surveys, we process that content to provide the service on its instructions. The organization may also have its own privacy obligations and notices for employees, customers and people recorded in surveys.
1.1 Waitlist Information
When you join the waitlist, we collect your name, work email address, company, country, role, plan interest, your communication preferences, and consent evidence such as the date, time, source, and version of the consent language shown to you.
1.2 Contact Information
When you contact us, we collect the information you provide, such as your name, email address, company, reason for contacting us, and message.
1.3 Technical Information
Our hosting and security systems may process basic technical information such as IP address, browser type, requested page, and request time to deliver and protect the website.
1.4 Payments Through Stripe
Swiss Digital Solutions LLC d.b.a. Route Survey App handles payments for RouteSurvey App through Stripe. If you purchase a product or service, Stripe processes payment and transaction information, which may include your name, email address, billing address, payment method, transaction amount, and payment status. We use billing and transaction records to administer purchases, provide billing support, handle refunds or disputes, and maintain accounting records. The website waitlist and contact form do not ask for card details.
Stripe also processes information for payment security, fraud prevention, and its legal obligations. See Stripe’s Privacy Policy for details. Stripe-hosted payment pages have their own privacy and cookie practices; they are separate from the public website’s cookieless analytics.
1.5 Accounts, Surveys and Shared Content
For product accounts, we process registration and profile details, your organization and role, authentication and session information, subscription status and support requests. Product content can include routes and precise location coordinates, recording timestamps, observations and measurements, photos, attachments, notes, transport/cargo settings, templates and generated reports.
Workspace membership, permissions, report versions and sharing settings help us manage access to records. Other people may appear in content you upload. Collect and share that information only when you have the necessary authority and permissions.
1.6 Device Permissions and Local Storage
Location access supports mapping and route recording. Background location can support an ongoing recording when the app is not in the foreground. Camera and photo-library access support survey images and attachments. Features involving audio or contact selection may require microphone or contacts access. You can manage permissions in your device settings; denying a permission may limit the corresponding feature.
The app stores records and files on the device for offline work and synchronizes them when the relevant synchronization functions run. Account/session settings, preferences and cached content may be stored locally by the app and Web Console. Optional device authentication uses your device's biometric authentication functions; RouteSurvey App does not receive your fingerprint or face template.
If notifications are enabled, device registration information is used to deliver them. Product request and diagnostic records may be processed to operate, secure and troubleshoot the service.
2. Notice of Collection: Categories, Purposes, and Retention
The table below summarizes the categories of personal information we collect, why we collect them, and how long we keep them. We collect these categories directly from you (forms) or automatically (technical logs from hosting and security systems), from your organization or shared product content, or from Stripe when you make a payment.
| Category | Examples | Purpose | Retention |
|---|---|---|---|
| Identifiers and contact details | Name, work email, company, country, role | Manage the waitlist; respond to inquiries; send communications you asked for | While the waitlist is active; inquiries kept as long as needed to respond and keep business records |
| Communication preferences | Waitlist and marketing opt-in status, consent timestamps and form version, opt-out requests | Honor your choices; keep evidence of consent; prevent messages after an opt-out | While communications remain active; a minimal suppression record is kept as long as needed to honor your opt-out |
| Internet and network activity | IP address, browser type, requested page, request time | Deliver the website, analytics, security, and abuse prevention | Analytics: 90 days plus the daily deletion interval. Operational logs follow the hosting provider’s retention. |
| Billing and transaction information (paying customers) | Billing contact details, purchases, payment status, refunds and disputes | Process and administer purchases; billing support; accounting and legal obligations | As needed for the transaction, billing support, and applicable accounting, tax and recordkeeping requirements |
| Product account and survey data | Account details, organization roles, precise route locations, observations, photos, attachments and reports | Provide accounts, surveys, reports, sharing and customer-requested exports | While the service is active, then the product retention periods in section 5; organization-owned records are handled at organization level |
We do not sell personal information or share it for cross-context behavioral advertising. Precise location and some customer-uploaded content can be sensitive personal information. We process it to provide the features you or your organization use, maintain security and meet applicable obligations. Workspace sharing chosen by customers is described below.
3. How We Use Your Information and Why (Lawful Bases)
We use the information we collect to:
- Manage the waitlist and respond to inquiries (Europe: performance of a contract / steps before entering one)
- Send the release notification you requested, and send the newsletter only when you separately choose it (Europe: consent, which you can withdraw at any time)
- Understand interest in RouteSurvey App and improve the website using cookieless, aggregate analytics (Europe: legitimate interest, balanced against your privacy)
- Prevent abuse and protect the website, including rate limiting and security monitoring (Europe: legitimate interest)
- Provide account access, route recording, synchronization, reports, sharing and exports (Europe: performance of a contract, or processing on a customer organization's instructions)
- Administer purchases and billing support (Europe: performance of a contract), and maintain required accounting and transaction records (Europe: legal obligation)
- Comply with legal obligations (Europe: legal obligation)
4. How We Share Information
We may share information with service providers that help us host the website, deliver email, secure our systems, operate the waitlist and provide product features. We may also disclose information when required by law or to protect our rights. We do not sell personal information.
Organization administrators and authorized team members can access records according to their roles. When you or your organization create share links or export reports, recipients can receive the selected content and may keep their own copies. An individual user's account deletion does not automatically delete organization-owned records or copies held independently by recipients.
The providers below receive information when you use the relevant feature. Loading a page sends your IP address to any provider serving content on that page, which is a normal part of how the web works:
- Cloudflare (website analytics) — stores page paths, page-view timestamps, approximate location, referring hostname, browser/device category, estimated active time, and predefined button/form events. Records older than 90 days are deleted daily; deletion may take up to one additional day. We do not store raw IP addresses, full referrer URLs, query strings, or form contents in analytics. A random identifier lasts for one page load; it is not stored in cookies or browser storage and does not link different pages or visits. We honor Do Not Track and Global Privacy Control signals.
- Formspree — processes and stores contact-form submissions and forwards notifications to our business mailbox. It receives your name, email address, company, reason for contacting us, and message.
- Cloudflare — processes signup requests and technical information to store your signup in its D1 database and limit automated abuse.
- unpkg and the OpenStreetMap Foundation — serve the mapping library and map tiles used only on the jurisdiction screening tool. They receive your IP address when that page loads.
- Stripe (payments) — processes payment and transaction data for purchases handled by Swiss Digital Solutions LLC. Joining the waitlist does not send payment information to Stripe.
Product Service Providers
- OVHcloud US — hosts the mobile app's supporting services, Web Console, and product storage, including survey photos and reports, in the United States.
- Google Firebase — supports push notifications and app-version information. Where push notifications are used, Firebase processes installation and device-registration information to deliver messages. See Firebase's privacy information.
- Mapping and routing providers — depending on the feature and map source, the product can request tiles, imagery, address searches and routes from OpenStreetMap services, CARTO, MapTiler, Mapbox, OpenTopoMap, openrouteservice and OSRM services. A provider serving a request can receive your IP address and the requested map area, search text or route coordinates. Provider use depends on the relevant feature and configuration.
Product hosting is in the United States. Other service providers may process information in additional countries. Where a transfer requires safeguards, the relevant processing arrangements must provide the safeguards required by applicable law. You can request information about the arrangements applying to your data through support@routesurvey.app. The location of the company serving you does not guarantee storage in that country.
The public website sets no cookies and does no advertising or cross-site tracking. This statement does not describe separate product sign-in or Stripe-hosted payment pages. Waitlist signups and the optional newsletter choice are stored in Cloudflare D1. Email addresses are not verified through confirmation emails. Contact-form details are processed by Formspree and our destination mailbox so we can respond; neither waitlist nor contact details are shared with third parties for their own marketing.
5. Data Retention
We retain waitlist information while the waitlist is active and as needed to send the release notification and any newsletter you opted into. If you unsubscribe, we remove your signup details from the active waitlist database and keep your email address and opt-out timestamp to prevent future messages. This does not delete separate customer, contact or billing records; you can request deletion of those records using section 7, subject to applicable retention obligations. Contact inquiries are retained as reasonably necessary to respond and maintain business records. Billing records are retained as needed to administer transactions and satisfy applicable tax, accounting and legal requirements. Service-provider backups may retain earlier data until their normal retention periods expire. We may retain information longer when required by law, for security, or to honor an opt-out request. The category-level retention periods are listed in the Notice of Collection above.
5.1 Product-Launch Retention Rules
The product retention windows below take effect at the app launch. The public website's current waitlist and contact records follow section 5 above. For a product-data request before launch, contact support@routesurvey.app.
Cancelled paid subscriptions: after your current paid period ends, we retain your surveys, photos and reports in active storage for 30 days so you can download them or request an export through support@routesurvey.app. At the end of that period, we delete the product data from active systems.
Expired trials: if you do not upgrade, trial access ends when the 14-day trial expires. We retain trial data for 30 days after expiry. During that time, you can request an export through support. If you have not upgraded, we delete the data from active systems at the end of that period.
Account-deletion requests: we delete your account and product data covered by the request from active systems within 14 days of receiving the request. We may need to verify your identity and authority. Requesting deletion is separate from cancelling a subscription.
Team accounts: deleting an individual member's account removes that account and access, while preserving the organization's shared surveys, photos and reports. Organization-owned records follow the organization's subscription and retention rules. We handle requests about personal information within those records separately with the responsible organization as appropriate.
Exceptions and copies: required tax, accounting, dispute or other legally retained records are handled separately. The active-system deadlines do not describe copies independently retained by report recipients. Backup copies, where maintained, require separate deletion handling; contact support for information about any backup retention applicable to your records.
Deleting server-held records does not remotely erase files already exported or stored on another person's device. For privacy requests concerning a recipient's independent use, contact that recipient or ask us for help identifying the appropriate organization.
6. Data Security
We use encrypted connections, access controls, and operational safeguards designed to protect information. Signup requests are sent over HTTPS, and database access is restricted to our Worker and authorized administrators. No internet transmission or storage system can be guaranteed completely secure.
6.1 Security Incidents
If a security incident affecting personal information occurs, we will notify affected individuals and regulators where and when required by applicable law, without undue delay, through email or a notice on this website.
7. Your Privacy Rights
Depending on where you live, you may have rights to:
- Request access to, correction of, or deletion of your personal information
- Receive a copy of your personal information in a portable format
- Opt out of marketing communications at any time
- Object to or restrict certain processing, or withdraw consent where processing relies on consent
- Not be discriminated against for exercising these rights
7.1 How to Submit a Request
Submit requests by emailing support@routesurvey.app (subject line "Privacy Request") or through our contact page. To stop RouteSurvey App waitlist and newsletter messages, use our Email Preferences page or contact us. We will verify your identity by matching the details of your request to the information we hold, and may ask for additional information solely to verify your identity. We respond within the period required by the law that applies to your request. For many U.S. state requests, that is forty-five (45) days with a permitted extension; for requests governed by EU or UK data-protection law, it is generally one month, with a permitted extension for complex or numerous requests. If we decline your request, we will explain why and how to appeal. You may use an authorized agent to submit a request with your written permission.
California residents may also use the same process to request information about categories of personal information and disclosures. We do not sell personal information or share it for cross-context behavioral advertising. An organization controlling shared survey records may need to participate in handling a request concerning those records.
8. International Visitors
Swiss Digital Solutions LLC handles North American customers, and Swiss Logistics Consulting GmbH handles customers elsewhere. Information may be processed by the relevant company and service providers outside your country, including in the United States. Your customer region does not mean all information is stored in that region. Information about international processing is described in section 4. European users may also lodge a complaint with their local data protection authority.
9. Children
The Services are intended for business users aged 18 or older and are not directed to children. We do not knowingly collect personal information from children.
10. Changes to This Policy
We may update this policy as RouteSurvey App and its public services change. We will post the revised policy here and update the date above. If a change materially affects how we use information already collected, we will notify waitlist participants by email before the change takes effect.
11. Contact Us
If you have questions about this Privacy Policy, please contact us at support@routesurvey.app or through our contact page.
